Why do I need Cancellation and Service Terms?
To financially protect your business, establish respect for your time and comply with NZ law.
No-shows and late cancellations can not only be incredibly frustrating but financially devastating.
The Cancellation and Service Terms set rules and expectations about when and how appointments can be cancelled and include financial consequences if cancellation is made outside of the agreed times or a client is a no-show. You may choose to waive these fees depending on the circumstances).
Consider requiring a deposit from your clients before allowing them to book an appointment. The cancellation fee would then either be equal to the deposit or deducted from the deposit. This will make your collection of cancellation fees much easier and motivate your clients to show up for their appointments (on time).
It is essential to clearly communicate any deposit or cancellation fee requirements to your clients before they book their appointment.
What do Cancellation and Service Terms cover?
These Cancellation and Service Terms are simple, without legalese, easy to understand and easy to add to your booking process. They contain optional terms if you take deposits from your clients, and different cancellation fees for late cancellations, no-shows and late arrivals (which must be fair and reasonable and reflect your actual cost incurred). The Terms also contain an optional ‘no children’ and/or ‘no pets’ policy and a description of the service risks. The Terms can be tailored entirely to your business.
How long will it take to create my Cancellation and Service Terms?

What do I do once my Cancellation and Service Terms are created?
The Cancellation and Service Terms are ready to go as soon as you have downloaded the document. You can edit and brand as you wish. The Terms should be loaded to your booking app (with a “click here to accept our Cancellation and Service Terms”) if possible, with a paywall if you are collecting a deposit, posted to your website and social media channels, displayed in your salon or clinic and loaded to (or linked to) all booking confirmation emails and texts. Any clients who book an appointment over the phone should be verbally advised of the Cancellation and Service Terms or directed to your website for a copy.
If a client is not told about a cancellation fee when their appointment is booked (and preferably ticked a box on your booking app or website to confirm acceptance), they could claim the cancellation fee doesn’t apply. Telling them about the Cancellation and Service Terms after the booking is made is too late.
