Who’s this Hair and Beauty Essentials Bundle for?
This bundle is for owners of any hair salon, barber salon, beauty salon, nail salon, tattoo studio, tanning salon, day spa, massage parlour, eyebrow and lash bar, hair removal salon…basically any business in the hair or beauty industry!
What’s in the Hair and Beauty Essentials Bundle?
Three vital legal documents to set yourself up for success as the owner of a beauty business:
- Cancellation and Service Terms – provide rules and expectations for your clients, including a transparent cancellation policy for late cancellations or ‘no shows’, deposits and other optional terms to protect your business, establish respect for your time and comply with law.
- Website Terms of Use - lets users know what they can and can’t do on your website (eg, can’t copy the website’s content), what you are allowed to do (eg, change the website at any time) and what you’re not responsible for (eg, reviews written by other people).
- Privacy Policy - to comply with the law, businesses must tell customers how they collect their personal information (ie, names, phone numbers, email addresses, credit card details) and what they use it for. This info is usually included in a privacy policy. Having one also helps build client trust (which leads to increased sales!)
As well as:
- Checklist for starting a hair and beauty business – all the essentials to check off when starting your own hair or beauty business, from business structure choice (company? sole trader? what’s the difference?) to GST registration, securing your business name, and council licensing requirements. This simple, easy-to-understand checklist is customised to the hair and beauty industry.
- Guide to Consumer Law – this valuable summary of the critical pieces of NZ consumer law (Consumer Guarantees Act, Fair Trading Act) lets you know when you’re required to provide a refund, what you can say when you advertise and other compliance essentials.
- Checklist for negotiating with suppliers on your terms – when you buy products and equipment from a wholesaler or manufacturer, they’ll probably require you to sign their legal agreement or terms of trade. Our checklist tells you what to look for to ensure you get the best deal and protect your business.
- Top 10 tips for negotiating a commercial lease in NZ – if you need a business premises use these tips to help understand leasing documentation, reduce the power imbalance with landlords, and negotiate a lease that meets your business needs.
Why do I need the Hair and Beauty Essentials Bundle?
This bundle will financially protect your business by setting rules and expectations about when and how appointments can be cancelled and the financial consequences if cancellation is made outside of the agreed times or a client is a no-show. The Website T&Cs reduce your exposure to risk and liability if your website doesn’t work as it’s meant to or if someone is doing something they shouldn’t be. If you collect personal information from clients, a privacy policy is essential to comply with the law and build client trust.
How long will it take to create my documents?
Around 10 minutes – get it done in no time at all! During the Q&A you can save your progress to come back later, or repeat the Q&A to change an answer or produce a new version of a document.
What information do I need to complete the Q&A?
- Whether you will take deposits from clients
- The amount of the cancellation fee for late cancellations, no-shows and late arrivals
- The notice period required for clients to cancel without being responsible for a cancellation fee
- The maximum number of minutes a client can be late to an appointment before you can charge a cancellation fee.
- A description of risks associated with your services (eg, reactions to chemicals, differing results).
What if I need help?
On Your Terms has teamed up with Luminate Legal to offer its customers the option of obtaining legal advice from a lawyer to provide extra assurance and peace of mind. If you would like to ask a lawyer some quick questions about your document (or your responses to the Q&A), or have your document reviewed/edited by a lawyer, click here to view and select Luminate Legal's packages and fixed-fee pricing exclusively for On Your Terms customers.
What do I do once my documents are created?
The documents are ready to go as soon as you have downloaded them. You can edit and brand as you wish. The Website Terms and Conditions and Privacy Policy should be displayed on your website. The Cancellation and Service Terms should be loaded to your booking app (with a “click here to accept our Cancellation and Service Terms” if possible), with a paywall if you are collecting a deposit, posted to your website and social media channels, displayed in your salon or clinic and loaded to (or linked to) on all booking confirmation emails and texts. Any clients who book an appointment over the phone should be verbally advised of the Cancellation and Service Terms or directed to your website for a copy.
This is important because if a client is not told about a cancellation fee when their appointment is booked (and preferably ticked a box on your booking app or website to confirm acceptance), they could claim the cancellation fee doesn’t apply. Telling them about the Cancellation and Service Terms after the booking is made is too late.
